Room for Pilates Last updated:20th September 2026
These terms and conditions ("Terms") apply to all one-to-one reformer Pilates sessions booked with Room for Pilates ("we", "us", "our"), operated by Melinda Nagy-Sinka. By booking a session, you ("client", "you") agree to these Terms.
Â
1. About Us
Room for Pilates provides private, one-to-one reformer Pilates instruction at our studio.
Contact: melinda@room-for-pilates.com Website: room-for-pilates.com
Â
2. Bookings
-
Sessions can be booked individually (pay-as-you-go) or purchased as a block/package of sessions.
-
A booking is confirmed once payment (or, for package clients, a scheduled slot) has been arranged.
-
We reserve the right to decline or cancel a booking, for example where a health or safety concern makes a session inadvisable.
Â
3. Cancellations and Rescheduling
-
You may cancel or reschedule a session free of charge with at least 24 hours' notice before the scheduled start time.
-
Cancellations or reschedule requests made with less than 24 hours' notice will incur a cancellation fee of 50% of the session price.
-
Late arrival does not extend the session; it will still end at the originally scheduled time.
-
We will give you as much notice as possible if we need to cancel or reschedule a session (e.g. illness), and will offer a replacement session or refund for that session.
Â
4. Session Packages
-
Sessions purchased as part of a block/package must be used within 6 months of purchase unless otherwise agreed.
-
Package sessions are non-transferable to another person unless agreed with us in advance.
-
Unused sessions are non-refundable except where required by law, or at our discretion in exceptional circumstances (e.g. long-term injury or illness, supported by evidence).
Â
5. Payment
-
Fees are as set out on our website or as otherwise agreed at the time of booking.
-
Payment for pay-as-you-go sessions is due [before/at the time of] each session.
-
Payment for packages is due in full at the time of purchase, unless a payment plan has been agreed.
-
We reserve the right to change our prices; any change will not affect sessions already paid for.
Â
6. Health, Fitness and Client Responsibility
-
Before your first session, you will be asked to complete a health information / PAR-Q style questionnaire. You must disclose any medical conditions, injuries, pregnancy, or other factors that may affect your ability to exercise safely.
-
You must inform us promptly of any change to your health or medical circumstances between sessions.
-
Reformer Pilates involves physical exertion and carries an inherent risk of injury. You confirm that you are physically fit to participate, or have sought medical advice confirming this where relevant.
-
We are not liable for injury or health complications arising from inaccurate, incomplete, or withheld health information.
-
If in doubt about your fitness to exercise, please consult your GP or healthcare provider before booking.
Â
7. Studio Rules and Conduct
-
Please arrive in suitable exercise clothing and footwear (or bare feet/grip socks, as advised) for reformer sessions.
-
Please arrive only a few minutes before your session start time, and come straight to the Pilates studio rather than waiting in the BFit gym area.
-
We reserve the right to end a session early, or decline future bookings, in cases of inappropriate behaviour, or where continuing would pose a safety risk.
Â
8. Limitation of Liability
-
Nothing in these Terms excludes or limits liability for death or personal injury caused by our negligence, or for fraud, or any other liability that cannot be excluded by law.
-
Subject to the above, we are not liable for any indirect or consequential loss arising from your use of our services.
-
Personal belongings brought to the studio are your own responsibility.
9. Data and Privacy
We collect and use personal and health information as set out in our Privacy Notice to enable us to deliver sessions safely. Please refer to that notice for full details on how your data is handled.
Â
10. Changes to These Terms
We may update these Terms from time to time. The current version will always be available on our website, and continuing to book sessions after changes take effect constitutes acceptance of the updated Terms.
Â
11. Governing Law
These Terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
Â
